GPT requires the services of an Office Administrator to be stationed at the Pretoria office. The successful candidate will be responsible for a wide scope of duties to support the needs to management and staff, coordinate some operational needs and assist with financial tasks. This position requires the employee to work in a physical office location and does not offer the option of working remotely or from home.

Essential skills and deliverables:

  • Outstanding organisational skills
  • Basic project management skills would be an advantage
  • Supplier management (vendor application, updating of records, filing of documentation)
  • Client management (data capturing, filing of documentation)
  • Managing general office administration and executing ad-hoc duties
  • Perform the reception function courteously and with a professional image and assist with general queries, when required
  • Maintain an accurate, comprehensive and accessible manual and electronic filing system
  • Update and maintain online external financial systems
  • Place orders/obtain quotes for relevant admin/office accessories, check and process delivery notes and invoices, ensure sufficient stock available
  • Assist with monthly invoicing
  • Control of petty cash box and reconcile petty cash at month end
  • Organise accommodation bookings and coordinate for staff travelling to sites
  • Assist Office Manager with verifying and reconciling claim forms before payment
  • Update and maintain training documents monthly
  • Booking of external training courses

 

Qualification and minimum requirements:

  • Matric certificate, ideally a post-matric Certificate or Diploma (office administration, financial) will be an advantage
  • At least 5 years’ work experience of which 5 years working in a support function
  • Experience in client interaction and dealing with clients and other stakeholders
  • Proven MS Office proficiency, especially Word and Excel
  • Basic accounting skills
  • Driver’s license
  • The successful candidate must demonstrate prior experience in coordinating multiple tasks and handling financial administrative tasks such as invoicing and cost tracking
